Warming Neon Ltd ("we", "us") is the data controller for personal data collected through this website. We're registered with the Information Commissioner's Office, registration number ZC142846. Warming Neon Ltd is a small, small company with no separate data protection team and no third-party data broker. Enquiries are handled directly by its director.

We do not collect payment details, or special category data. The Neon Plant & Tool Hire demonstration is a system still in development that runs on sample data in your browser and does not send or store anything you enter. Its pages do load fonts from Google Fonts, which means your IP address and browser details are sent to Google when you open them (see section 3). Neon Chat, the site assistant, also runs in your browser and stores nothing. Its option to contact Warming Neon opens your own email application and sends nothing by itself.
2. Lawful Basis
Enquiry data: legitimate interest (responding to business enquiries) or pre-contract steps if you're asking about a potential engagement. Technical/log data: legitimate interest (keeping the site secure and running). Non-essential cookies: consent, given or withheld via the cookie banner.
3. Who We Share Data With
We don't sell personal data, and we don't share it with third parties for their own marketing purposes. Data does pass through the processors that make the site run:
- Hosting: Bluehost (web and domain hosting)
- Email: Google Workspace (hello@warmingneon.com)
- Fonts: Google Fonts, used by the SaaS demonstration pages only. Opening those pages sends your IP address and browser details to Google. The main site pages use fonts stored on this site and make no such request.
- Analytics: not currently in use. If we enable analytics in future, it will only run after you accept via the cookie banner. See the Cookie Policy for what's active.
Bluehost and Google Workspace may process data outside the UK (Google in particular operates internationally); where that happens, it's covered by their standard contractual clauses or equivalent UK-approved transfer mechanism.
4. How Long We Keep It
Enquiry data, from someone who contacts us but doesn't go on to become a client, is kept for as long as needed to respond and follow up, and deleted or anonymised after 24 months of inactivity unless you ask us to delete it sooner.
Records tied to an actual client engagement (invoices, contracts, project correspondence) are kept for 6 years from the end of the engagement, in line with UK statutory requirements for financial and accounting records (Companies Act 2006 / HMRC record-keeping rules).
Technical log data is retained only as long as your hosting provider's default retention window.
5. Cookies
Full detail is in our Cookie Policy. In short: strictly necessary cookies run by default (they keep the site working), anything else, including analytics, only runs if you accept via the banner.
6. Your Rights
Under UK GDPR you have the right to access, correct, delete, restrict, or port your personal data, and to object to processing based on legitimate interest. To exercise any of these, contact hello@warmingneon.com. We'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the ICO at ico.org.uk.
7. Changes to This Policy
We'll update the date at the top of this page whenever this policy changes materially.
